What we're working on and things we've shipped
In September 2024, we continued to spend the majority of our dev time was spent on a few major projects. Since we're close to launching, we'll shed some light and provide a high level overview.
- Vendor Products - a vendor product is product that is used for purchasing goods and services.
- These products can be associated with products in your pricebook, and if you create an estimate from an approved proposal, you'll be able to generate work and purchase orders to vendors automatically from the estimate.
- Multiple vendor products can associated with a product in your pricebook. This allows the user to review multiple price points and make adjustments to anticipated costs in the estimate.
- When you generate "Orders", you'll be able to select your purchasing products and send them to the vendors for bids or approval. The approval process includes a vendor signature.
- Ordering Functionality
- We're launching a feature that allows users to send work and purchase orders from Poologics.
- How does it work?
- Orders can be queued up in the project creation process.
- If the user sent their estimate from Poologics, the orders will be queued up by vendor.
- Orders can be refined and sent from Poologics to a vendor. The vendor can comment on the order and give a quote for the work or products that will be purchased.
- Once approved (signed by vendor or confirmed by the purchasing representative), the order will await delivery/completion of the execution of the purchase order.
- When complete, the user will log the received good or service, and then create bills from the order. We believe this will greatly improve the project budgeting process.
- Heritage Integration

- Why are we partnering with Heritage? It's always been a goal of ours to provide more tools that are dedicated specifically for Pool Contractors. A specific pain point that we see is the struggle that it is for Pool Builders to keep their costs up to date in their estimates. With a supplier integration, we save pool builders time and increase the accuracy of their estimates.
- How does it work?
- To speed up the Poologics Pricebook onboarding progress, the user can pull in their frequently purchased products from the Heritage data to Poologics. This provides and excellent starting point for building out your pricebook.
- When the products are added to Poologics, we grab the associated costs of the products and the product availability from branches. The pricing in Poologics is synced with the Heritage quoted priced from the branch that you purchase from.
- When the order for Heritage is created, the user will send the request and receive confirmation from the Heritage purchasing system. All of the transactional information related to the order will be logged to the chatter. Updates about delivery will also log to the order's chatter. Upon delivery, the user will confirm the products received and prices, and then create bills for budgeting.
- Zapier - Connect thousands of apps to Poologics
- Over the past year, we've conducted many customer interviews, and our clients have been requesting greater marketing automation tools. We heard them, and this is the first step on the journey to pull more marketing and automation tools into Poologics.
- Zapier enables users who are already using other tools in other applications to connect these tools to Poologics.
- For this first launch of many, we're catering to three actions and triggers:
- New Contact Creation - when a contact is created in another app or Poologics, do something else in another application or Poologics.
- New Opportunity Creation - when an opportunity is created in another app or Poologics, do something else in another application or Poologics.
- Opportunity Stage Change
- When an opportunity change happens in Poologics, trigger another action in another application. (Emails, SMS, etc.)
- When something happens in another app, change the status of the opportunity in Poologics.
- The automations will show a change log in the chatters.
- Our roadmap is to provide templates for Pool Builder workflows and also embed a Zap builder in Poologics.
- Mobile/Unified Login:
- As a prerequisite for the mobile app project that we're on, we completed a unified login task.
- Now users can go to this page to login. Our website will soon a have a Login page that utilizes this feature.
Additional Work from September
- Updated the Opportunity -> Estimate Table View (Released in October)
- Addressed an issue that was causing pricing tables to cut off in proposals (Released in October)
- Login Navigation Menu (Released in October)
- For users outside of the US, the data format should be DD/MM/YYYY
Known Issues that We're Actively Working On
A user brought to our attention that the Gmail Refresh API token was failing. Upon further review, we found a Google Policy changed and the integration now requires user to need to restart authentication upon a Google password change in the third party mail application.
We are in the progress of updating Gmail workflows to accommodate the policy change. When users go to send an email from Poologics, if the Gmail password has changed, they will now prompted to log back into Gmail via Poologics.
