Introduction of Purchasing/Work Order Workflows

We've launched a brand new module! 

Whether you're using estimates in Poologics or not, you can create purchase and work orders in Poologics, and send them to vendors for acceptance and signature. The vendor can comment on the order, reject the order, or sign for the order. 

Additionally, users can setup a confirmation email to be sent to the vendor days in advance to get confirmation that the execution of the order will happen on the prearranged date. If there are delays in the execution of the order, the vendor can input a new date, and the "exception" will create an activity assigned to the purchasing representative to handle the change of plans.

Once the order has been executed, the order can be converted into a bill for job costing.

Introduction of Heritage

The Heritage integration has been released to all accounts, but the customer API keys will need to be received from Heritage. We'll be meeting with the Heritage integration team in early December, and we'll get their stamp of approval to receive customer API keys. 

When users integrate their Poologics account with Heritage, they can pull over all of their recently purchased Heritage products into Poologics as a "Vendor Product". The Vendor Product is formatted for how the products will be used in Purchase Orders, but it can be converted into a "My Product" for utilization in your pricebook. If the Vendor Product is associated with a "My Product", the pricing from the Heritage will keep your pricebook up to date with live pricing by default. If you don't want the costs to be synced with Heritage, you can opt out of it at the My Product record. 

When users utilize the Heritage products in the estimate and then create a project with that related estimate, the Heritage products will be queued up in an order in the project creation. In the Order, we'll show the amount that was estimated to be spent on the item, so that you can check estimate vs. purchasing assumptions. Additionally, the item will carry over the budget category from the estimate so that there is a limited chance of misbudgeting items when the order is converted to a bill.

When the user sends the order to Heritage, Heritage will review the order, process it, and we'll push all status changes to the document's chatter. When the product ships, the chatter will also receive updates that include tracking codes. If there is an exception on the order (unable to fulfill the order or a delay), and activity will automatically be created in Poologics assigned to the purchasing representative. 

When the products are received, the user will enter what was received in the order, and they can click "Create Bills" to convert the orders into Bills for job costing.

PoolScape Proposal Type

We've held many client interviews about proposals, and it is clear that users wanted to format features related to the Pool Project in groups beyond merely the "base price". We heard from you and built a new proposal type for PoolScapes. 

Mobile App

We're excited to announce that we are live in the iOS app store! Since launch, we've been meeting with customers to discuss any enhancements that they may need, and the conversations are going well. 

The big point of emphasis with this release is to enable salespeople and project managers to capture their notes and attachments in the field and communicate with the office staff in a structured manner. Poologics seeks to provide the tools to unify your workflows and keep your team all on the same page. The mobile app will make conversations easier, communication organized, and project-related documentation easier to find from the field.

The Android version of the app is under review with the Google team, and it should go live in the Play Store any day now.   

 

 

 

Zapier

You can now connect Poologics to thousands of apps via Zapier. 

  • Zapier enables users who are already using other tools in other applications to connect these tools to Poologics. 
  • For this first launch of many, we're catering to three actions:
    • New Contact Creation - when a contact is created in another app or Poologics, do something else in another application or Poologics.
    • New Opportunity Creation - when an opportunity is created in another app or Poologics, do something else in another application or Poologics.
    • Opportunity Stage Change
      • When an opportunity change happens in Poologics, trigger another action in another application. (Emails, SMS, etc.)
      • When something happens in another app, change the status of the opportunity in Poologics.
  • We are also launching the integration with five triggers:
  • The automations will show a change log in the chatters.
  • Our roadmap is to provide templates for Pool Builder workflows and also embed a Zap builder in Poologics.
  • Give us feedback - we want to add more to this integration, and we'll prioritize the effort based on user needs.
